One of the most useful tools in planning a future event is reviewing notes from a previous event. Schedule a debriefing meeting with key staff a day or two following the event to discuss in detail what worked well and what can be improved upon for next time. This will be helpful for planning similar events, as well as general events, in the future.
Following an event it is important to thank volunteers who contributed to the success of the event. You can do this through e-mail, but a formal letter or note card is preferable. It is important to formally thank the event participants to let them know how much you appreciate their participation. You might want to send a formal letter or note card with photos from the event. If you offered to ship the gift presented at the event, you can include it in the same package.
Depending on contacts made at the event, you may want to follow up with the appropriate college development officer. Determine if there is anything you need to brief campus departments on and be sure to thank them for their assistance in hosting the event. Make sure all vendors have been paid as promised. |
